What are Plans and Subscriptions?

Sutram offers different subscription plans to meet the needs of different users, from individuals testing the platform to large companies with advanced requirements. Each plan has specific limits for storage, monthly bandwidth, and number of projects, plus access to exclusive features.

Available Plans

Sutram offers four plans, each building on the previous one:

  • Basic — Free, for new users and invited collaborators
  • Pro — For freelancers and small content teams
  • Plus — For engineering projects and teams needing API and automation
  • Max — For large projects and departments of large companies
  • Enterprise — Custom plans for corporations with specific requirements (contact sales)

Usage Monitoring

Viewing Your Current Usage

To track your usage and limits:

  1. Go to Settings (gear icon)
  2. Click on the Subscription tab
  3. You'll see:
    • Current Plan: Plan name, price, and status
    • Member Since: When you became a member
    • Usage Dashboard: Progress bars showing:
      • Storage: Space used vs. plan limit
      • Monthly Bandwidth: Bandwidth used vs. limit (resets monthly)
      • Projects: Number of projects vs. plan limit

Usage Indicator Colors

  • Green: Normal usage (below 70%)
  • Yellow: High usage (70-90%)
  • Red: Critical usage (above 90%)

Bandwidth Reset

Monthly bandwidth resets on the first day of each month. You can see the reset date on the usage dashboard.

How to Upgrade

To upgrade your plan:

  1. Go to SettingsSubscription
  2. Scroll to the Available Plans section
  3. Find the desired plan and click Upgrade
  4. Review the details in the confirmation window:
    • Current plan → New plan
    • Price change
    • New features you'll have access to
  5. Click Confirm to complete the upgrade

Note: Upgrades are applied immediately and you'll have instant access to new features and limits.

How to Downgrade

When Downgrade is Allowed

You can downgrade to a lower plan if your current usage is within the new plan's limits. The system automatically checks:

  • Storage used ≤ New plan limit
  • Monthly bandwidth used ≤ New plan limit
  • Number of projects ≤ New plan limit

Downgrade Process

  1. Go to SettingsSubscription
  2. Find the desired plan and click Downgrade
  3. Review warnings about features you'll lose
  4. Click Confirm to complete

Features you may lose (depending on the target plan):

  • REST API Access
  • Webhooks
  • Admin role (existing Admins keep their role but no new ones can be added)
  • SSO/SAML
  • IP Whitelist
  • Guaranteed SLA

When Downgrade is Blocked

If your current usage exceeds the limits of the desired plan, the system will block the downgrade and show exactly what you need to adjust.

Example blocking messages:

Cannot downgrade to this plan

Your current usage exceeds the limits of the Basic plan.

To downgrade, you need to:

  • Storage: you are using 2 GB but the plan allows only 100 MB → Reduce storage usage (delete or archive content items)

  • Projects: you have 3 projects but the plan allows only 1 → Delete or archive 2 project(s) (keep only 1)

Downgrade Restrictions and Validations

Storage

If you're using more storage than the plan allows:

  1. Access your projects
  2. Delete or archive unnecessary content items
  3. Empty the trash (if needed)
  4. Wait a few minutes for the system to update
  5. Try downgrading again

Monthly Bandwidth

If you've exceeded the new plan's bandwidth:

  1. Option 1: Wait until the end of the month for bandwidth to reset
  2. Option 2: Choose a plan with a higher bandwidth limit
  3. Option 3: Reduce bandwidth usage by avoiding large downloads/uploads

Projects

If you have more projects than the plan allows:

  1. Identify inactive or unnecessary projects
  2. Archive or delete projects until you reach the limit
  3. Important: Delete or transfer ownership of excess projects

Best Practices

Choosing the Right Plan

  • Start small: Begin with Basic or Pro and upgrade as needed
  • Assess needs: Consider your typical storage and project usage
  • Essential features: If you need the REST API or webhooks, choose Plus or higher
  • Admin role: If you need project Admins, choose Max
  • Expected growth: Choose a plan with room for growth

Storage Optimization

  • Delete temporary or duplicate content items
  • Use compressed file formats when possible
  • Review and empty trash regularly
  • Archive completed projects

Bandwidth Optimization

  • Avoid unnecessary uploads/downloads
  • Use the API moderately (respect rate limits)
  • Monitor webhooks to avoid loops

Project Management

  • Keep only active projects
  • Archive completed projects
  • Delete test or temporary projects
  • Transfer ownership when appropriate

Frequently Asked Questions

Q: Can I change plans at any time? A: Yes, you can upgrade at any time. Downgrades are allowed if your current usage is within the new plan's limits.

Q: What happens if I exceed my limits? A: The system will notify you when you reach 70%, 90%, and 100% of limits. When exceeded, you'll need to upgrade or reduce usage.

Q: How does billing work when changing plans? A: Upgrades are charged proportionally. Downgrades generate proportional credit for the next month.

Q: Is my data lost when downgrading? A: No, your data is not lost. However, you won't be able to access some features until you return to a compatible plan or reduce usage.

Q: Does unused monthly bandwidth accumulate? A: No, unused bandwidth doesn't accumulate. It resets every 1st of the month.

Q: Can I cancel my subscription? A: Yes, you can downgrade to the Basic (free) plan at any time, following usage validation rules.

Q: What happens to Admins if I downgrade from Max? A: Existing Admins keep their role, but no new Admins can be added until you upgrade back to Max.

Q: How does auditing work? A: Auditing records all important actions in the system. Retention period varies by plan (90 days on Plus, 365 days on Max, unlimited on Enterprise).

Q: Can I transfer my plan to another account? A: No, plans are tied to specific accounts and cannot be transferred.

Q: What is the MCP Server? A: The MCP Server allows AI tools and other clients to access your project content remotely via the Model Context Protocol. It's available from the Pro plan onwards with different rate limits per plan.
